Rensure LLC ("Rensure", "we", "our", or "us") operates the website at rensure.ai, our preview surface, webmail services, and the associated rental recordkeeping application (collectively, the "Service"). Rensure helps someone with one to four rentals keep a dated record of how you decided.
This privacy policy explains what information we collect when you visit our website or use our software, how that data is used, the limited third parties with whom it is shared, and how you can exercise your rights to access, export, or delete your information.

We collect the data necessary to provide rental recordkeeping, lease preparation, and documentation tools:
A. Account and profile information
Name, email address, telephone number, organization or entity name, and cryptographically hashed passwords. Billing transactions are handled directly through our payment processor.
B. Tenancy records and supporting documents
Rental property street addresses, unit identifiers, lease start and end dates, monthly rent amounts, security deposit amounts, itemized deduction worksheets, condition inspection checklists, room and item photographs, repair invoices, tenant communication logs, and generated record bundles.
C. Technical and usage information
Internet Protocol (IP) addresses, browser user-agent strings, operating system, referring URLs, request timestamps, pages viewed, and interface navigation interactions recorded to diagnose service performance and maintain security.
D. Direct communications
Messages sent via tenant notification workflows, customer support inquiries, and transactional email correspondence sent to or received by Rensure administrators.
E. Listing page loads
When someone opens a public listing page, we add one to a counter kept for that listing, that day, the source of the link, and the portal tag; the counter does not use cookies and does not store an IP address, a user agent, or a referrer.
3. How we use your information
- Delivering core services: Generating statutory notice deadlines, populating lease agreement templates, organizing property inspection logs, and preparing bundles of records and supporting documents.
- Account administration and billing: Processing subscription payments, managing user permissions, and sending critical service notices.
- Maintaining dated records: Maintaining tamper-evident, timestamped audit logs of tenant communications, lease sign-offs, and deposit deduction notifications as directed by the user.
- Security and abuse prevention: Detecting fraudulent tenant applications, unauthorized account access, spam, and malicious API exploitation.
- System diagnostics: Monitoring server uptime, improving page delivery, and fixing software errors.

We retain your records for as long as your account remains active or as required by applicable statutory recordkeeping obligations. You can export your data at any time through our export center in standard formats (CSV, PDF).
